President Bodnar invites applications from interested campus employees to serve in the role of Chief of Staff for the Office of the President. This position serves a crucial role on the President’s leadership team, representing the prioritized interests and objectives identified as vital to the success of the University. This position is responsible for the general operations of the President’s Office and charged with management of various administrative matters. The Chief of Staff is expected to assist the President in effectively allocating his time and efforts to the areas and issues most important to the overall success of the University. This involves oversight of the President’s schedule, facilitation of access to the President, and coordination of projects and initiatives either directly involving or assigned by the President. The Chief of Staff is responsible for the supervision of those assigned to work in the Office of the President in an administrative capacity.

This position is expected to provide strategic counsel to the President and members of the executive leadership team, serving in a key advisory role as a member of the President’s leadership team. The person in this position is also responsible for supporting the President’s efforts to lead an effective and efficient leadership team by helping to manage the agendas of team meetings, efficiently prioritizing meetings and other engagements with a variety of stakeholders, and preparing or securing suitable materials necessary for the advancement of the work and deliberations of the President and leadership team. This position is also responsible for the oversight of the President’s correspondence and reports. The Chief of Staff is expected to facilitate productive collaboration between the Office of the President and those with a vested interest in the University. This includes frequent interaction with students, faculty, staff, alumni, members of the public, donors, and state/national/international officials as well as other internal and external stakeholders. The individual in this position is also responsible for managing the completion of special projects and other initiatives that cross organizational lines and ensuring completion in a timely manner.

Responsibilities

The person in this position will work on behalf of the President to advance the strategic goals set forth by the University. Other essential functions of this position are listed below:

Prepares background materials for the President in advance of meetings.

Manages the general operations of the Office of the President, including direct oversight and development of the staff assigned to the office.

Ensures the effective management of all budgets for the President’s Office and monitors the various accounts for the President.

Provides analytical and substantive insight to the President in relation to the President’s dealings with academic, student, athletic, development, alumni, business, and external communities.

Coordinates special initiatives as determined by the President and assists in the planning of special events and developmental opportunities for the President.

Liaises with shared governance groups to ensure alignment of effort and open, effective, timely communication.

Serves in an advisory capacity, providing strategic insight to the President regarding matters of policy and other organizational issues as related to the President’s constituency. Also serves in an advisory role to the President’s leadership team in assisting with the resolution of complex and/or sensitive organizational or operational matters. Works collaboratively with senior leadership of the University to manage major projects and initiatives, including but not limited to leadership development and appropriate response to internal and external concerns.

Works to promote a positive image of the University of Montana by representing the institution in a variety of community, state, and regional activities.

Ensures effective engagement of the President with local, state, regional, and national agencies and officials.

Works to expand the University’s constituency by strengthening existing affiliations when possible and working directly with external community organizations and University leadership in developing productive partnership opportunities for the University and community.

Ensures effective and efficient operation of the Office of the President by prioritizing their schedule, providing contextual background information on key issues, coordinating research projects and other initiatives, and managing other initiatives assigned by the President.

Position Details

Position is full-time, 1.0 FTE, MUS Contract and includes a comprehensive and competitive benefits package including Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.

Salary for this position is $75,000 per year commensurate with qualifications.

Required Skills

Ability to maintain strict confidentiality and extreme discretion in frequently working with highly sensitive, proprietary information.

Highly developed verbal, written, and interpersonal communications skills; including an acute emotional intelligence required to effectively communicate the position of the President on a multitude of issues.

Willingness and ability to attend events and other work functions outside of a traditional work schedule, including weekends and evenings when required.

Comprehensive knowledge and understanding of institutional policies and procedures and the regulatory environment under which the University operates.

Ability to gather information, analyze data, and utilize relevant information to compile useful reports.

Skills necessary for the continual reexamining and reengineering of operations and procedures, as well as those required for the effective and strategic implementation of these initiatives.

Ability to perform complex tasks while often having to prioritize multiple projects.

Sound and strategic judgement necessary to make critical administrative and procedural decisions.

Comprehensive knowledge of applicable legislation, standards, policies, practices, and procedures.

Highly developed leadership skills and the ability to oversee and guide complex, challenging tasks.

Ability to cultivate and maintain strong working relationships with a wide-ranging, group of individuals and entities.

Ability to organize, prioritize, and schedule work projects for self and others.

Demonstrated commitment to diversity and the success of University students.

Employee development and performance management skills.

Required Experience

Extensive experience, knowledge, skills, and abilities at this level are typically acquired with a Master’s degree in a field related to the duties and responsibilities associated with the position, and a minimum of five (5) years of experience in a higher education setting; or any combination of experience and education that would provide the competencies necessary to successfully manage the duties and responsibilities assigned to the position.

Preferred Qualifications

Master’s degree in relevant field.
